CORPORATE HEADSHOTS LONDON — TERMS & CONDITIONS

These Terms apply to all headshot photography services booked via Corporate Headshots London. a brand of Social Photographer Limited, regardless of whether the booking is made via the website, email, phone, or other communication.
1. BOOKINGS
A booking is confirmed once a shoot date and fee are agreed by email, message, booking system, or written confirmation.
Confirmation of a booking constitutes acceptance of these Terms and forms a legally binding agreement with Social Photographer Limited.
2. PAYMENT
Invoices are issued by Social Photographer Limited.
Payment is due within 14 days of invoice date unless otherwise agreed in writing.
Final delivery of high-resolution images may be withheld until payment is received in full.
VAT is payable where applicable.
Late payments may incur statutory interest under the Late Payment of Commercial Debts Act.
The Agency reserves the right to require payment in advance for new clients.
3. CANCELLATION & RESCHEDULING
Booking a session reserves studio time and production availability that cannot always be reallocated at short notice.
Individual headshot sessions
Clients are asked to provide at least 24 hours’ notice if they need to cancel or reschedule.
The Agency reserves the right to charge the session fee for cancellations made with less than 24 hours’ notice or for non-attendance, though this may be waived at the Agency’s discretion.
If a session is missed due to illness, the Client may arrange to have their headshot taken at the studio on another date for a nominal session fee, subject to availability.
Corporate bookings (office sessions, half-day, and full-day bookings)
Corporate bookings reserve dedicated studio time, equipment, and production availability.
Rescheduling
More than 72 hours’ notice: no fee
Less than 72 hours’ notice: 20% rescheduling fee
Cancellation
More than 72 hours’ notice: 50% of booking fee
Less than 72 hours’ notice: 100% of booking fee
Where possible, the Agency will work with the Client to reschedule rather than cancel.
If an individual participant is unavailable due to illness or travel disruption, they may attend a studio headshot session at a later date for a nominal session fee, subject to availability.
4. SHOOT CONDITIONS
The Photographer will follow reasonable instructions during the session.
Session time includes setup, photography, and basic review.
Late arrival by the Client does not extend the booked session time.
If the Client fails to attend a confirmed session, the full session fee may be payable.
5. DELIVERY
Preview images are normally delivered within a reasonable timeframe after the session.
Final edited images are delivered after the Client selects images for retouching (if applicable).
If image selections are not received within 30 days, the Agency may close the project and archive the files.
The Agency is not responsible for storing images long-term, though files may be retained temporarily.
Clients are responsible for backing up delivered files.
6. COPYRIGHT
All images remain the copyright of Social Photographer Limited.
No copyright is transferred to the Client.
7. HEADSHOT USAGE LICENCE
Upon full payment, the Client receives a non-exclusive licence to use the delivered headshot images for:
LinkedIn profiles
company websites
professional biographies
CVs
press features
speaking engagements
internal corporate use
personal promotion
Images published online may remain published indefinitely.
The licence does not permit:
resale of images
stock licensing
third-party commercial advertising campaigns
AI training datasets
alteration that misrepresents the subject
Additional commercial usage may be licensed separately.
8. RETOUCHING
Retouching includes natural skin cleanup and colour correction.
Requests beyond standard retouching may incur additional fees.
The Agency reserves the right to maintain a consistent retouching style.
9. FAILURE TO PERFORM
If the Photographer cannot attend due to illness, injury, or unforeseen circumstances, the Agency will attempt to provide a replacement photographer.
If a replacement cannot be arranged, liability is limited to refund of Fees paid.
10. LIABILITY
The Agency is not liable for indirect or consequential losses.
Maximum liability is limited to the total Fees paid.
Nothing excludes liability for death, personal injury, or fraud.
11. DATA PROTECTION
Personal data is handled in accordance with UK GDPR.
12. GOVERNING LAW
These Terms are governed by the laws of England and Wales.
